We have an open Case Manager seat with a U.S. law firm we work with — a practice handling estate planning, probate, and real estate matters, looking for one person to own how its cases move from intake through resolution. What You’ll Own
This is a role with real scope. You won’t be handling one slice of someone else’s caseload — you’ll own how matters move across estate planning, probate, and real estate, with the firm’s attorneys as your partners on the law and you as the person who keeps every case on track.
- The caseload, end to end — carrying active matters across all three practice areas from intake through resolution, and knowing the status of every one
- The client relationship — serving as the primary point of contact: proactive status updates, day-to-day questions, expectation-setting, and the kind of steady, sensitive communication these matters often call for
- Intake and onboarding — gathering client information, opening files, and making sure every matter is complete and ready before it reaches an attorney
- Internal deadlines — owning the firm’s internal and client-facing timelines: attorney review milestones, client deliverables, execution scheduling, and follow-up cadence — and surfacing anything at risk before it becomes a problem
- Document execution and probate logistics — coordinating signing appointments, notarization, and witness requirements, and assembling the supporting materials probate matters require
- The outside coordination — working with title companies, financial institutions, and recording offices to confirm scheduling, gather status, and relay information
- Closings — supporting real estate closings by coordinating client communication and scheduling as each one moves toward its deadlines
- The case record — keeping files, status notes, deadline flags, and communication records current in the firm’s practice management system, and tracking your time accurately

You Are Who We’re Looking For
Education & Credentials
- Licenciatura in law, legal studies, business administration, or a related field — required
- Licenciatura en Derecho — preferred
- Additional certification in a relevant legal or case-management specialty — a plus
Case Management Knowledge & Skills
- 2–4 years in law firm case management, paralegal work, or legal support — required
- Demonstrated experience tracking deadlines independently and managing client communication on your own — required
- Familiarity with at least one of the three practice areas — estate planning, probate, or real estate — required
- Experience with practice management software (Clio, MyCase, Smokeball, or equivalent) — a plus
- Familiarity with U.S. legal concepts and terminology — a plus
English Proficiency
- Advanced English proficiency required — equivalent to TOEFL iBT 95+ or CEFR C1
- Demonstrated ability to communicate professionally with U.S. clients, attorneys, and colleagues
- Clear, confident written English: status letters, client correspondence, case summaries, and internal updates
Remote Work Readiness
- Reliable high-speed internet connection and a dedicated, professional home workspace with a private working area for confidentiality (internet and electricity stipend provided)
- Demonstrated ability to work independently and manage tasks without in-person supervision
- Comfortable with U.S.-based collaboration tools (Microsoft 365, Google Workspace, practice management software, video conferencing, and Zoom)
- Full availability during U.S. business hours — must be able to cover Pacific through Eastern time zones
